  • Update APE result (Fit to Fly Certificate) in AIMS. Update and follow up Medical Certificate of Cabin Crew at the medical clinic. Ensure Medical Certificates are scanned and filed. Coordinate with HRD thru email regarding changes in attendance report on maternity and extended sick leave. Ensure Cabin Crew on Maternity Leave reports on scheduled date of check
  • Prepare, update, and encode the following:
    APE request letter to Health Service Provider and advise Cabin Crew with pending APE and ensure fit to work
    Fit to Fly are issued promptly (before Recurrent Training and after Maternity Leave)
  • Handle distribution of crew uniforms and uniform equipment in all bases Uniform/shoes measurement Email People Department for PR uniforms, shoes, equipment, and accessories for regular Cabin Crew and newly hired Cabin Crew to ensure on time availability and distribution. Conduct and maintain an inventory of uniforms, equipment, accessories monthly. Accept and ensure accurate number of uniforms and equipment delivered. Distribution of Cabin Crew uniforms, equipment, and accessories and acknowledge receipt on the form provided. Maintain a file per Cabin Crew.
  • Prepare, monitor, and file Payment Advice and liquidation for hotel accommodation bills of Cabin Crew Managers and transfer based crew.
  • Prepare and liquidate domestic and foreign Business Travel Authorization for all Cabin Services personnel.
  • In-charge of the Fun Flight prizes. Prepare fun flight prizes (for all bases), ensure damaged prized are documented, and turned over to the office concerned for necessary corrective action. Conduct weekly monitoring of prizes to avoid losses. Coordinate with Marketing regarding the availability of prizes. Handle prizes for outstation (COMAT). Conduct monthly inventory of fun flight prizes and submit to Manager, Support and Group Managers, Cabin Operations
  • Prepare official letter for resigned Cabin Crew/Cabin Crew Manager and advise all concerned personnel.
  • Process the clearance for resigned, separated/AWOL Cabin Crew online.
  • Update and encode Registration in the Advance Passenger Information (API) site for the Cabin Crew, visa and passport details in AIMS, and personal details of new Cabin Crew.
  • Ensure Visa and Passport details are scanned and filed.
  • Create a database for each newly hired Cabin Crew in AIMS (Airline Information Management System).
  • Ensure pre-employment requirements and issuance of employee number is completed prior hiring date.
  • Encode and check the accuracy of bank account number of newly hired Cabin Crew.
  • Handle Cabin Crew/CCM requirement:
    Chinese Visa application
    Prepare letter for Consul (for Chinese Visa)
  • Assist in encoding and preparing the manuals for submission to regulatory bodies
  • Handle distribution of the Temporary revisions for the aircraft and Cabin Services office copy. Ensure all Cabin Crew and manual holders received a copy of the updated manuals. Maintain Document Receipt and Retrieval of the manuals.

Qualifications:

  • Graduate of a bachelor’s degree – preferably in psychology, business administration, tourism management or any related field
  • Preferably with 2-4 years administrative experience in an airline industry
  • Must have intermediate to advance proficiency in MS Office applications
  • Must be a good communicator (verbal and written) with good interpersonal skills; can deal and manage different personalities
  • Must be organized (with a keen attention for details) and comfortable working within timelines/deadlines
